Job Description

Overview

We are looking for a dedicated and knowledgeable HR Generalist to join our team. The ideal candidate will play a crucial role in supporting various HR functions and ensuring a positive workplace environment. This position requires a comprehensive understanding of HR policies, procedures, and best practices.

Responsibilities:
1. Onboarding and Documentation

  • Handle work permit and visa applications for foreign employees (through Identity Malta).
  • Prepare employment contracts in line with Maltese labor law.
  • Organize onboarding and induction programs for new hires.

2. Payroll & HR Administration

  • Prepare and process monthly payroll, ensuring accuracy of salaries, statutory contributions (SSC), and taxes.
  • Submit FS5 monthly tax returns and support FS3/FS7 annual submissions.
  • Maintain payroll records and ensure compliance with Jobsplus and Inland Revenue requirements.
  • Manage leave entitlements, sick leave, overtime, and other benefits.
  • Ensure compliance with GDPR in handling employee data.

3. Employee Relations

  • Act as a point of contact for employee queries, grievances, and workplace concerns.
  • Provide advice on disciplinary procedures and employment law.
  • Support employee engagement and maintain positive working relationships.

4. Compliance & Legal

  • Ensure all HR practices comply with Maltese employment law and EU directives.
  • Keep up to date with legislative changes (Employment and Industrial Relations Act, GDPR).
  • Assist with audits, reporting, and regulatory inspections.

5. Training & Development

  • Identify training needs and coordinate internal or external programs.
  • Liaise with Jobsplus and other entities for funded training schemes.
  • Support employee development and career progression initiatives.

6. Performance & HR Strategy

  • Support the performance appraisal process.
  • Assist in workforce planning and HR policy updates.
  • Contribute to HR strategy and initiatives.
Requirements
  • Minimum of 2-4 years of experience in an HR Generalist role or similar position.

  • Strong knowledge of HR practices, Maltese labor laws, and regulations.

  • Excellent communication and interpersonal skills.

  • Proficient in HRIS and Microsoft Office Suite.

  • Strong organizational skills and attention to detail.

  • Ability to handle sensitive information with confidentiality and professionalism.

  • Problem-solving skills and the ability to work independently and as part of a team.

Education and Experience
  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
